As a Management Assistant, you are the central point of coordination around the CFO. You manage his calendar, schedule appointments and travel, and coordinate meetings, including agendas, minutes, and action points. In addition, you act as the first point of contact for stakeholders and direct questions to the appropriate people within the organization.

You also support administrative and financial tasks, such as preparing and reviewing documents, expense claims, reimbursements, and budget monitoring. Since you work with confidential information, discretion, accuracy, and professionalism are essential in this role.

Your responsibilities include:

  • Managing the CFO’s calendar, including scheduling appointments and organizing travel;
  • Acting as the primary point of contact for stakeholders and redirecting inquiries to the right people;
  • Preparing and reviewing documents on behalf of the CFO;
  • Coordinating meetings, including preparing agendas, taking minutes, and monitoring action items;
  • Assisting with administrative tasks such as reviewing contracts and invoices;
  • Prioritizing tasks in a dynamic environment with multiple stakeholders and deadlines;
  • Collaborating with various departments, including Finance, Procurement, Risk, and IT.

For this position, we are looking for someone who is confident, maintains a clear overview, and thinks proactively. You have a strong sense of priorities, communicate clearly, and handle confidential information in a professional manner.

Additionally, you recognize yourself in the following profile:

  • You have at least 1 year of demonstrable experience as a Management Assistant or secretary, preferably supporting a C-level executive (CFO, CEO, etc.);
  • You possess strong organizational skills and effective time management;
  • You are able to prioritize tasks and handle conflicting interests and deadlines effectively;
  • You have excellent communication skills, both written and verbal;
  • You work accurately and have a keen eye for detail;
  • You have excellent command of MS Office, including Word, Excel, PowerPoint, and Outlook;
  • You enjoy working independently but can easily collaborate with colleagues and stakeholders;
  • You have excellent command of the English language; Dutch is a plus but not required (the CFO speaks both Dutch and English);
  • You are available for at least 24 hours per week;
  • You live within a maximum travel distance of one hour from Venlo.
